Free Building Maintenance Software: What You Get and What You Give Up
You maintain a building, the software budget for this year is zero, and the search that brought you here was some version of free building maintenance software. That is a reasonable place to start. Plenty of small property teams run a real preventive schedule on a free plan for years without paying anything. Others enter eighteen months of repair history into a free tool and then find there is no way to get it back out.
The difference is not luck. It comes down to knowing which limits the free tier is holding back before you commit your building to it.
Free means three different things, and only one of them stays free
Search results for free building maintenance software mix three products that behave nothing alike.
A free tier of a commercial product. You get a working subset of a paid system, permanently, with caps on seats, assets or features. The vendor expects a fraction of free users to grow into paying ones. This is the most common shape and usually the best starting point for a building team.
Open source you host yourself. The license costs nothing. A server, backups, upgrades, certificates and somebody who can restart it at 9pm on a public holiday all cost something. If your organization has no IT staff, this is the most expensive option on the page, and the cost arrives as your own evenings.
A free template or checklist pack. Useful for structuring a first pass at your asset list. It is not software, and it will never remind anyone of anything.
The rest of this guide is about the first kind, because that is what most people mean and it is where the decisions are least obvious.
What free building maintenance software normally includes
Free tiers are fairly consistent about the core. Expect to get:
A work order you can create, assign to a person, and mark complete
An asset register with a name, a location and some notes per record
Recurring tasks, often with the recurrence rules cut down
Photo attachments, up to a storage limit
Mobile access through a browser, so a technician can close a job standing at the equipment
Some way for one or two other people to submit a request
For a two person team looking after one building, that set replaces a whiteboard and a group chat, and it is a genuine upgrade. It gives you a single place where the history of a repair lives, which is the thing a spreadsheet and a text thread can never do.
Where the free line usually falls
The caps are not random. Vendors gate the things that correlate with a maintenance operation getting bigger, which means the free plan works until the exact moment your job gets harder. Six limits do almost all the work.
Seats before features
Nearly every free tier counts people. One or two full users is typical, and the paywall arrives the day you hire a third technician or give the caretaker a login of their own. This bites harder in buildings than in a factory, because building work is spread across part-timers, cleaners, volunteers and contractors rather than concentrated in a shift crew. Count everyone who will need to close a task, not everyone on the payroll. If that number is already four, a two seat free plan is a short experiment rather than a plan.
An asset cap, counted in a way you did not expect
Free plans commonly cap the asset register somewhere between a couple of dozen and a couple of hundred records. One mid-size commercial building passes the low end without trying: rooftop units, split systems, exhaust fans, pumps, water heaters, backflow preventers, a fire panel, extinguishers, emergency lighting, roller doors, an elevator, a generator. Extinguishers alone can be sixty records if you track them individually, and you should, because the inspection tag is per unit. Walk the building and do a rough count before you sign up, then add half again for what you find in the roof space and the basement.
Preventive scheduling, which is the reason you are here
This is the limit worth reading the fine print on. Some free tiers give you unlimited one-off work orders and no recurring schedules at all, which turns the tool into a task list with your logo on it. Others give you calendar recurrence only: every 30 days, every 6 months. That covers filter changes and fire door checks. It does not cover anything driven by use, such as generator run hours, elevator trips or pump cycles, and it does not cover a task that should fire when a reading crosses a threshold. A building with a generator on a monthly load test and an annual service based on running hours will get the annual one wrong on a calendar-only plan, every year, silently. Read the recurrence options on the free tier line by line, because scheduling is the part that pays for the software.
Request intake from the people who use the building
Occupant requests are what separate building maintenance from equipment maintenance. A tenant with a leaking faucet, a teacher with a broken blind, someone who noticed a parking lot light out: these come from people who will never log in to your software. Free tiers handle it in one of three ways. Some give you an open request form with no cap, because it drives adoption. Some cap the number of requesters, which is meaningless in a building where the requester population is everyone who walks in. Some leave it out, so requests arrive by text message and you retype them yourself. That third version is the one that fails, because retyping someone else's problem is the first step to get skipped on a busy day.
Attachments, storage, and the photo that proves you fixed it
Storage caps tend to be generous on the way in and painful on the way out. A photo before and after each repair is the cheapest evidence you will ever collect, and it settles arguments with owners, tenants and insurers. Check two numbers: total storage on the free plan, and whether attachments come with an export. A tool that exports your work order text but not the images attached to it has kept the half of the record that matters in a dispute.
History retention and reporting
The quietest limit is time. Some free plans show only the most recent 30 or 90 days of completed work, or restrict reports to the current period. You will not notice in the first weeks, because there is nothing to look back at. You notice a year later, when you are trying to work out whether the same rooftop unit has failed three times and whether it is time to replace instead of repair. That question is the whole argument for tracking maintenance, and a retention cap takes away your ability to answer it. Free plans vary enormously here, and what you actually get from a free system is worth checking before you enter a single asset.
What a building needs that a generic task app cannot do
Building maintenance is not equipment maintenance with different nouns. Four things behave differently, and a generic to-do app misses all four.
Assets live in a location tree. Site, building, floor, unit, room, asset. You need to find the water heater in unit 4B without knowing its serial number, and you need to see every asset in one unit when the tenant changes. A flat list of equipment names cannot answer either question.
Records have to survive an audit. Elevator inspections, fire system tests, backflow testing and emergency lighting checks are recorded obligations in most places, though the intervals and the paperwork vary by location. The audit question is never what did you do, it is show me the record, and the record has to be attached to the asset rather than sitting in an inbox.
Much of the work is done by people who do not work for you. Contractors hold the service contract for the elevator, the fire system and often the chillers. You still own the schedule and the evidence, so you need a place to log a visit you did not perform and file the report you were emailed.
The building is occupied while you work on it. A shutdown in a plant is a planned event. Shutting off water to a floor is a negotiation, so the schedule has to be visible far enough ahead to warn people.
Here is the shape of it in one asset. A five story office building has one elevator. The service contract covers a quarterly contractor visit. Local rules require an annual statutory inspection by a third party. Your own team checks the emergency phone and the door restrictor monthly. Three parties, three intervals, one asset, and one set of records that has to be produced on request. On a spreadsheet that is one row plus a lot of memory. In a tool with a proper asset record it is one asset carrying three recurring tasks and a document history. Some free tiers can hold that structure and some cannot, and it is the first thing to test with a trial asset.
Intervals multiply the same way, and the HVAC is where you feel it. A rooftop unit does not carry one service interval, it carries several: filters on one cycle, belt and coil work on a longer one, and a full service annually, with the real numbers set by the manufacturer document and by how dirty the air is where the unit sits. Twelve units on one roof turns that into dozens of recurring jobs. In a task app you build each one by hand, then build them again when a unit is replaced. In a system built around assets the schedule hangs off the asset record, so swapping the unit keeps both the schedule and the service history attached to the right place on the roof. Whether the free tier lets you attach a recurring task to an asset at all, rather than to a date, is worth testing before you enter the first unit.
The same shape shows up with less slack in buildings run on volunteer labor, where the person doing the quarterly check is different every time. A written, repeatable facility maintenance checklist matters more there, not less, and it is the part a free plan can usually carry perfectly well.
Spreadsheet, free tool, or paid: deciding in ten minutes
The honest answer is that all three are correct for somebody. Match the tool to the shape of your operation rather than to your budget, because picking the wrong one costs more than the software.
Stay on a spreadsheet while all of these are true: one person does all the maintenance, you have fewer than about 25 assets worth tracking, nobody outside that one person needs to read the record, and you have not missed a service interval in the last year. A spreadsheet you actually maintain beats software nobody opens.
Move to a free tier when the record needs to leave one person's head. Two or three people closing tasks, occupant requests arriving from more than one direction, a photo history worth keeping, and a modest set of recurring jobs: that is exactly the profile free plans are built for, and there is no reason to pay before you hit their caps.
Pay when any single one of these is true:
More people need a login than the free plan allows, and the workaround is a shared account
You have statutory inspections whose records you must be able to produce on demand
Contractors need to receive work and return a report inside the system
An owner, board or committee expects a report on spend and completion rates
Your asset count has passed the cap, and you are keeping some assets out of the system to stay under it
You need more than 12 months of history to make a repair-or-replace call
That last group of questions is the same set you would ask about any equipment maintenance software purchase, applied to a building. The one that catches people out is the fifth: keeping assets out of the register to stay inside a free cap means your register is wrong, and a wrong register is worse than no register, because you will trust it.
The real risk is your history, not the feature list
Features you can work around. Two years of repair history you cannot export is not recoverable, and it is the single asset the software builds for you that you cannot rebuild. Before you enter real data, create one work order with a photo, then export it. If the export is a usable file with the attachment included, the free plan is safe to build on. If the export is behind the paywall, treat the tool as a trial and keep your asset list somewhere you own.
Ask these five questions before you create the account
How many users, and does a request-only person count as a user?
How many assets, and are locations counted as assets?
Which recurrence types work on the free plan: calendar only, or usage and meter readings too?
How long is completed work order history kept and visible?
Can I export everything, including attachments, without upgrading?
Every one of those has a definite answer, and a vendor who will not answer the fifth has answered it.
If you outgrow the free plan, move in this order
Migration goes wrong when people start with work orders. Start with the structure instead.
Export everything from the old system first, and keep the file even after the move looks finished
Build the location tree before the assets, so every asset has somewhere correct to live
Load the asset list, and clean it as you go: this is the one chance you get to delete the equipment that was scrapped two years ago
Recreate the recurring schedules, checking each interval against the manufacturer document rather than copying what the old system had
Open occupant request intake last, once the team is confident, because a flood of requests into a half-built system is how adoption dies
Keep the old system readable for a quarter, then stop
The failure mode is not technical. It is a team that keeps using the group chat because the new system was opened to everyone before it was ready. The practical steps for migrating maintenance tasks into software are worth reading before you pick a date.
